2008 Exhibition Information

Denver Fire Department Specifications and Requirements

The City of Denver fire regulations are comprehensive. Please make sure you read this information carefully. It is the exhibitor’s responsibility to ensure their booth and exhibiting materials/equipment are in compliance.

IMPORTANT: A Denver Fire Department Show Permit may be required for the following:

  • Two-Story Booths
  • Propane
  • Hazardous Materials
  • Flammable or Combustible Aerosols/Liquids

Union Regulations

The Colorado union regulations are strict and will be equally enforced. Please make sure your exhibit staff and any appointed EAC’s are aware of all union regulations. It is the exhibitor’s responsibility to abide by all union regulations. The union regulations are provided within this section as well as in the Freeman Section.

Official Service Contractors

The Society of Petroleum Engineers has designated official contractors to ensure the continuation of a smooth installation, dismantling and operation during the exhibition. See complete list.

Electrical/ Air-Gas-Water-Drainage

The Colorado Convention Center is the exclusive contractor for all electrical and plumbing services. Please refer to the Additional Services section for order forms and additional information.

Freight Handling

SPE has appointed Freeman as the official contractor to control access to the Colorado Convention Center of all delivery and freight trucks, administer assignment and usage of loading docks, and supervise the Teamsters Union Labor responsible for the loading and unloading of freight shipments. Please refer to the Material Handling/Freight Services Section for further information.

Customs Brokerage

The 2008 Annual Technical Conference and Exhibition has been designated as an International Trade Fair. All freight entering the United States must go through U.S. Customs. Rogers Worldwide has been named as the official customs broker. Further

Decorator/Installation/Dismantling Labor

SPE has appointed Freeman as the official labor contractor to ensure the sufficient number of qualified craftsmen to install and dismantle the exhibition. Forms, information and direct link to Freeman can be found in the Freeman Section.

Catering

Exhibitors wanting to serve food or beverage from their booth must make arrangements with our official contractor, Centerplate Catering. Any exhibitor wanting to distribute alcoholic beverages must notify Show Management and Centerplate Catering, as well as order a police officer. Please refer to Additional Services Section for menu and form.

Security

A uniformed security force will be on duty from the beginning of move-in through the completion of move-out. However, SPE cannot accept responsibility for theft or damage. Exhibitors should make arrangements for their own insurance regarding coverage of their exhibit and exhibit materials.

The following contractors are exclusive and their services cannot be provided by anyone other than the companies listed below:

Exhibitor Service Center

The Exhibitor Service Center will be in Hall C. This area will include SPE Exhibit Management as well as all service contractors appointed by SPE.

Carpet and Drape Color Guide

The Exhibit Area is NOT carpeted. Floor covering is required in all display booths.

  • Center and perimeter aisles will be black; all other aisle carpet will be green.
  • Back drape will be 8’ high black, white and green drape.
  • Sidewall drapes (36” high) will be black.

First Aid Services

Emergency first aid at the Colorado Convention Center is available beginning on Wednesday, 17 September through Friday, 26 September. The First Aid office will be located on the exhibit floor.

Installation Schedule

0800 to 1700 Thursday 18 September
0800 to 1700 Friday 19 September
0800 to 1700 Saturday 20 September
0800 to 1000 Sunday 21 September
  • Move-in operations will begin at 0800 Thursday, 18 September. All freight shipped to the official freight-handling contractor will be placed in the exhibit booths before that time. Exhibitors who fail to comply with the move-in schedule are subject to crew time charges as outlined in the Material Handling/Freight Services Section.
  • All exhibits must be installed by 1000 hours, Sunday, 21 September. SPE reserves the right to prohibit move-in after that time and to have a display not yet erected at that time completed by the show contractor at the exhibitor’s expense. If the SPE Exhibits Department has not been notified, in writing, of a late set-up beyond the 1000 hours deadline, SPE reserves the right to consider the booth space to be cancelled and vacated. SPE reserves the right to resell the cancelled space and the contract will become null and void and cancellation penalties will apply.
  • Any exhibitor whose freight shipment will not arrive until Sunday, 21 September, should notify the SPE Exhibits Manager as soon as possible.
  • No one under 18 years of age will be admitted during exhibits installation, 18–21 September, and during dismantling stages, 24–26 September.
  • All aisles and common aisles must be kept as clear and unobstructed as possible during move-in and move-out operations.
  • No gas or electric motorized vehicles will be permitted except for use by SPE Official Contractors.
  • The use of roller skates/blades, scooters, and segways is prohibited in the exhibit area at all times. Bicycles may be used only by SPE official contractors. Only ADA approved devices will be allowed to be utilized in the Convention Center.

Dismantling Schedule

  • Exhibitors may begin dismantling activities after 1400 hours Wednesday, 24 September.
  • Freeman will begin returning empty crates as soon as possible after 1400 hours and after the aisle carpet has been removed. Exhibitors needing to load Wednesday afternoon must notify Freeman in advance. Move-out must be completed by 1700 hours Friday, 26 September.
  • Any company that dismantles their exhibit prior to the official closing of the exhibition jeopardizes their priority number and their company’s right to participate in future SPE events.
