Exhibitor Services Manual


SPE’s Exhibitor Services Manual is now available through Freeman Online.  We recently teamed up with Freeman to establish a more streamlined, user-friendly ESM.

All of the forms, information and resources you need are available in one location on the Freeman website.

Items that can be found in the "Quick Facts" (pdf) document located on the left side of the Freeman website include:

  • Show schedule, including move in and move out times
  • Shipping dates and addresses
  • Booth information and carpet color


New for 2015:

  • No audio or video recording or still photography may occur without SPE’s permission. SPE has updated the Photography Policy for 2015.  Violating the SPE Photography Policy will result in penalties. View the complete Photography/Video/Audio Recording Regulations.
  • Exhibitors and their appointed contractors are responsible for the removal of Visqueen covering by the end of move in on Sunday. If an exhibitor’s booth remains covered or cordoned off on Sunday evening, any vacuuming necessary on Monday morning will be at the expense of the exhibitor. Additionally exhibitor will be responsible for the disposal of the Visqueen and for vacuuming all aisles around their booth. Failure to comply will result in a loss of 5 priority points.
  • Character of Exhibit guidelines have been updated to better address the professional and multicultural audience that SPE attracts. SPE reserves the right to prohibit an exhibit or part of an exhibit, including promotional materials and graphics that in its judgment could be discriminatory.  SPE may caution or eject booth personnel that in dress or behavior it feels is infringing on cultural or professional standards.   • Bands that are performing within an exhibitor’s booth may not be connected to amplifiers in compliance with Noise Level Regulations.
  • Painting or finishing of signs, displays or other objects is prohibited at the George R. Brown Convention Center.
  • Any lighting associated with a hanging sign must be integral to the sign and no spotlighting is allowed. All lighting of signs must be within the perimeter of the booth dimensions and cannot extend into the aisles or be attached to the building outside the confines of the booth.


  • Exhibitors using an Exhibitor-Appointed Contractor (EAC) to install or dismantle their exhibit space must return the Work Authorization Request Form by 17 August 2015. 
  • No open-toe shoes are permitted on the exhibit floor during move-in and move-out.
  • Exhibitors (or their EAC) who ignore repeated verbal/written warning by SPE Show Management of a violation(s) of the Rules and Regulations, will lose 5 priority points.  If an exhibitor is cited for more than 2 offenses, the exhibitor will forfeit 30 priority points.  (See Photography Policy for applicable point forfeiture.) Contracted Exhibitors are responsible for the actions of their co-exhibitors and their EACs.
  • Exhibitor or its EAC is encouraged to remain with their freight during move-out until it is picked up from the exhibit hall by the Official Freight Contractor. Show Management is not responsible for loss of unattended freight. Additional security may be hired at Exhibitor’s expense.

Guest Card Program

SPE will email to each exhibitor an electronic guest card that may be used to invite your customers and prospects. There is no limit on the number of guests you may invite, but you will be charged USD 40 for each guest that registers using your guest card, per day.  The maximum charge for Guest Cards isUSD 2400.

  • Guest cards may not be used for exhibiting booth personnel.
  • Guest Cards are for Exhibition only.  Technical Sessions are not included.

Please note the procedure for attendee list rental: SPE can send the mail list electronically to an exhibitor-appointed mail house; however, the file will not be sent electronically to exhibiting companies.

Pre-Show Promotions

Media Lists

SPE can provide exhibitors with a list of journalists who are pre-registered for the 2015 Annual Technical Conference and Exhibition (ATCE). By utilizing this list, you can effectively target specific media with an invitation to your booth to test your new product or talk with a company spokesperson. This media list contains journalists’ names, job titles, and outlet names only and should be used as a supplement to your own media database. Click here for the most up-to-date media list.

When advertising in trade publications or on websites, remember to promote your company’s exhibit at ATCE. Add a tag line (for example, See us at ATCE, booth #) and incorporate the ATCE graphic in your ads. Download the ATCE graphic.

On-Site Promotions

Press Conferences

Contact us if you are interested in reserving the press conference room for a media event.
The room is available for 50-minute time slots on Monday, Tuesday and Wednesday during ATCE.

Press Room

ATCE values journalists and the information they provide the industry. In turn, SPE provides journalists with excellent facilities, services, and equipment. We are constantly adding to and improving our services to provide journalists with the best working environment possible.

The ATCE press room also has a seating area for exhibitors to conduct one-on-one interviews with journalists. This area is available on a first-come, first-served basis.

Press Kit Center

The Press Kit Center, located in the press room, is a place for the journalists to collect information on exhibiting companies’ products and services. Journalists rely on press kits* to find out what new and exciting products and services are being exhibited at the event. All exhibitors are encouraged to display their press kits in the room.

DO NOT SHIP your kits to the press room. Delivery cannot be guaranteed. We urge all exhibitors to have the kits shipped with their booth and then carry their kits to the press room during show hours.

We recommend exhibitors bring approximately 30 press kits. During the event, check your kits periodically to ensure the quantity is sufficient. Remember to keep a supply of them in your booth for journalists who stop by. Please note, if your kit is larger than 9" wide, it may not fit in the slots.

All remaining press kits not removed by close of show, Wednesday 30 September, will be recycled.

* What is a press kit? A press (or media) kit is a package or folder that may include a company fact sheet, executive photographs and biographies, list of products and/or services, CDs/DVDs with product videos, customer testimonials, and important news releases.
