Exhibitor Services Manual

Welcome to the 2012 SPE Hydraulic Fracturing Technical Conference (12HFTC).  SPE is pleased to provide you with quick access to important information regarding exhibiting at the 2012 HFTC.  We encourage you to review the contents of the Exhibitor Services Manual carefully.

Children under the age of 18 are not permitted in the Exhibit Area during installation and dismantle. Children under the age of 15 are not permitted in the Exhibit Area during official show hours.

Exhibit Information and Regulations

SPE has appointed Official Contractors to ensure a smooth installation, dismantling and operation for the Exhibition.

  • Login and create your online  and printed exhibitor listing for the Conference Program by 10 November 2011.

Guest Card Program

  • Three (3) complimentary Guest Cards will be mailed to the Exhibitor contact and address provided on the application. Use Guest Cards to invite key prospects and current customers to visit your booth at 2012 SPE Hydraulic Fracturing Technical Conference.
  • Order Additional Guest Cards at 50.00 USD per guest card.
  • Guest Cards may not be used for exhibiting booth personnel.

Official Contractor Services

To ensure smooth installation, dismantling and operation during the Exhibition, SPE has appointed Official Contractors. Some services are restricted and must be provided by an Exclusive Contractor.  A list of these services and providers are found in the Exhibit Regulations and are designated as Exclusive Contractor on the Official Contractors List.

If you plan to use an Exhibitor Appointed Contractor (EAC), you must submit a Work Authorization Request Form (WAR) no later than 6 January 2012.

Upon receipt of a Work Authorization Request Form, SPE Exhibit Staff will send the required paperwork to the appointed EAC.  The Packet includes:

  • EAC Agreement
  • Sample of Insurance Requirements
  • Badge Request Form

The EAC forms are mandatory and must be received prior to the Exhibition.  The Exhibitor is responsible for making sure that their EAC provides the necessary forms. 
For EAC personnel to be allowed on the floor to service the exhibit booths, all paperwork must be received no later than 12 January 2012.

Decorator and Labor Contractor

Freeman is the official decorator and labor contractor. Contact Freeman to assist you with carpet, furnishings, labor, modular exhibit rentals, and signs and graphics.

Select the individual services forms from the exhibitor kit. Complete required forms, including the Method of Payment Form, and forward to Freeman at 1.469.621.5613 fax or email to FreemanHoustonES@freemanco.com. Order forms sent to SPE Management WILL NOT get processed or forwarded.

Utilities and Other Booth Services

Material Handling Freight Services

Freeman is the exclusive contractor that controls and supervises delivery and freight truck access to The Woodlands Waterway Marriott Hotel and Convention Center, assignments and usage of loading docks, and the Teamsters Union Labor responsible for the loading and unloading of freight shipments.  All carriers must check in with Freeman.

Registration and Housing

Registration Information

  • The number of complimentary Full Conference Registrations will be, two (2) per 100 square feet of contracted exhibit space.  Registration includes admittance to Technical Sessions, Monday Night Reception, Exhibition, Coffee Breaks, and Networking Luncheons. One copy of the CD Proceedings will be sent to the primary contact following the event.
  • A personalized link and login information will be provided in an email to the primary contact, once space has been assigned. This information will be sent from registration@spe.org .  Please setup @spe.org as a safe domain so that emails will not go into your spam folder.
  • You may purchase up to two times (2X) your allotted complimentary Full Conference Registrations online as well. Please refer to the “Paid Exhibitor Section” of the Online Exhibitor Registration Form.
  • Domestic exhibitor badges will be mailed prior to the conference for registrations received prior to 5 December.  After 5 December, badges will be available for pick-up onsite.
  • International registrations will be held for pick-up onsite only.
  • Pre-registered badges may be picked up onsite at Registration, beginning Sunday, 5 February at 1500 hours, located in Town Center Foyer.
