Exhibitor Services Manual

Welcome

Welcome to the 2014 Hydraulic Fracturing Technology Conference (14HFTC). We are pleased to provide you with quick access to important information regarding exhibiting at the 2014 HFTC. We encourage you to review the contents of the Exhibitor Services Manual carefully.

Exhibit hall is carpeted. Drape colors are blue and green on back (8’ high) and blue side draping (3’ high). By order of the Fire Marshal, NOTHING may be attached to this drape.

Children under the age of 18 are not permitted in the Exhibit Area during installation and dismantle.

Children under the age of 15 are not permitted in the Exhibit Area during official show hours.

 

Exhibit Information and Regulations

SPE has appointed Official Contractors to ensure a smooth installation, dismantling and operation for the Exhibition.

 

 

Marketing Programs

List Your Exhibit

  • Login and create your online and printed exhibitor listing for the Conference Program by 14 November.
  • Enhance your online listing by adding up to three product descriptions and photo. For questions regarding your company password, contact Lori Duke at 1.972.952.9375 or by email at lduke@spe.org.

Guest Card Program

Three (3) complimentary Guest Cards per 100 square feet will be sent to the Exhibitor application contact to invite key prospects and current customers to visit your booth at 14HFTC. Additional guest cards will be available for purchase at USD 50 per guest card. Additional guest cards may be purchased by contacting lduke@spe.org.

  • Guest cards may not be used for exhibiting booth personnel.
  • Guest cards do not include ticketed events.

Contractor Services

To ensure smooth installation, dismantling, and operation during the Exhibition, SPE has appointed Official Contractors. Some services are restricted and must be provided by an Exclusive Contractor. A list of these services and providers are found in the Exhibit Regulations and are designated as Exclusive Contractors on the Official Contractors List.

If you plan to use an Exhibitor Appointed Contractor (EAC), you must submit a Work Authorization Request Form (WAR) no later than 24 December.

Upon receipt of a Work Authorization Request Form, SPE Exhibit Staff will send the required paperwork to the appointed EAC. The packet includes:

  • EAC Agreement
  • Sample of Insurance Requirements
  • Badge Request Form

The EAC forms are mandatory and must be received prior to the Exhibition. The Exhibitor is responsible for making sure that their EAC provides the necessary forms.

For EAC personnel to be allowed on the floor to service the exhibit booths, all paperwork must be received no later than 7 January.

 

Exhibitor Services

Decorator and Labor Contractor

Freeman is the official decorator and labor contractor. Contact Freeman to assist you with carpet, furnishings, labor, modular exhibit rentals, and signs and graphics.

  • The following are contained within the Freeman Exhibitor Kit:
    • Furnishings and Accessories
    • Rental Exhibits Form
    • Carpet and Cleaning
    • Installations and Dismantles
    • Graphics and Signs Form
  • Complete the required forms.
  • Include Method of Payment Form with all orders.
  • Submit hard copy forms to Freeman via fax or email.

Order forms sent to SPE Management WILL NOT be processed or forwarded.

Material Handling Freight Services

Freeman is the official contractor that controls and supervises delivery and freight truck access to the Woodlands Waterway Marriott, assignments and usage of loading docks, and the Teamsters Union Labor responsible for the loading and unloading of freight shipments. All carriers must check in with Freeman.

Shipping Timeline

Freeman will begin accepting crated, boxed, or skidded materials at their warehouse, beginning Friday, 3 January at the address listed below. Material arriving after 28 January will be received at the warehouse with an additional after deadline charge.

Freeman will receive shipments at the exhibit facility beginning Sunday, 2 February at 1300 hours at the address listed below. Shipments arriving before this date may be refused by the facility. Any charges incurred for early freight accepted by the facility are the responsibility of the Exhibitor.

Registration and Housing

Registration Information

  • Exhibitor registrations include Networking Luncheons taking place on 4-6 February.
  • Download the Exhibitor Registration Instructions Form for a quick reference on everything you need to know about registering. After your booth is confirmed, you will receive an email with information to help you register online. Read through the first page completely as it contains the step-by-step information regarding the registration process.

Helpful Registration Tips

  • To register your staff in the system, have all your information close at hand as you will not be able to make changes once you submit it.
  • Be prepared to enter all information promptly. Take note that after a certain period of time, the system will automatically kick you out.
  • To make changes after you submit, review your email for the Registration Team's contact information.
