Exhibitor Services Manual


Welcome to the 2014 SPE International Conference on Health, Safety & Enviornment Conference & Exhibition. We are pleased to provide you with quick access to important information regarding exhibiting at the 14HSE.  We encourage you to review the contents of the Exhibitor Services Manual carefully.

Safety is a high priority for SPE and in reviewing our policies we have added the following mandate:

No Open-Toe Shoes Are Permitted on the Exhibit Floor During Move-In and Move-Out

This rule is put in place for your safety, as the exhibit floor is considered a construction zone during installation and dismantling. Please communicate this policy with all of your colleagues and contractors who may be on the exhibit floor during these times. Anyone with open-toe shoes will be turned away at the door or asked to leave the exhibit floor immediately.

Exhibit Hall is not carpeted. Aisle carpet is Blue. Drape colors are Blue, Grey and Blue on back (8’ high), and Blue side draping (3’ high). By order of the Fire Marshal, nothing may be attached to this drape.

Children under the age of 18 are not permitted in the Exhibit Area during installation and dismantle. Children under the age of 15 are not permitted in the Exhibit Area during official show hours.

SPE has appointed Official Contractors to ensure a smooth installation, dismantling, and operation for the Exhibition.

List Your Exhibit

  • Login and create your online and printed exhibitor listing for the Conference Program by 3 January.
  • Enhance your online listing by adding up to three product descriptions and photo. For questions regarding your company password, contact Mary Ann Outarsingh.

Guest Card Program

  • You are entitled to three (3) complimentary guest cards per 100 square feet of exhibit space. A Guest Card template will be sent to each exhibitor to invite key prospects and current customers to visit your booth at 14HSE. Additional guest cards may be distributed for USD 50 each. Please read the guest card information sheet carefully.
    • Guest cards may not be used for exhibiting booth personnel.
    • Guest cards are for the Exhibits only.

Official Contractor Services

To ensure smooth installation, dismantling, and operation during the Exhibition, SPE has appointed Official Contractors. Some services are exclusive and must be provided by the named Exclusive Contractor. A list of these services and providers are found in the Exhibit Regulations.

If you plan to use an Exhibitor Appointed Contractor (EAC), you must submit a Work Authorization Request Form (WAR) no later than 3 February.

Upon receipt of a Work Authorization Request Form, SPE Exhibit Staff will send the required paperwork to the appointed EAC. The packet includes:

  • EAC Agreement
  • Sample of Insurance Requirements
  • Badge Request Form

The EAC forms are mandatory and must be received prior to the Exhibition. The Exhibitor is responsible for making sure that their EAC provides the necessary forms.

For EAC personnel to be allowed on the floor to service the exhibit booths, all paperwork must be received no later than Monday, 17 February.

Decorator and Labor Contractor

GES is the official decorator and labor contractor. Contact GES to assist you with carpet, furnishings, labor, modular exhibit rentals, and signs and graphics.

Order services online: visit GES Online to place orders directly or you may order services by email or fax.

Other Booth Services

Material Handling Freight Services

GES is the official contractor that controls and supervises delivery and freight truck access to Long Beach Convention Center, assignments and usage of loading docks, and the Teamsters Union Labor responsible for the loading and unloading of freight shipments. All carriers must check in with GES.

Shipping Timeline

GES will begin to accept crated, boxed, or skidded materials to their warehouse beginning on Monday, 10 February at the address listed below. Material arriving after 12 March will be received at the warehouse with an additional after deadline charge. Warehouse materials will be accepted at the warehouse 10 February to 12 March between the hours of 0800–1530. On Monday, 17 February the warehouse will be closed in observance of President's Day, so plan accordingly. Complete the Shipping Order Form.

GES will receive shipments at the exhibit facility beginning Saturday, 15 March at the address listed below. Shipments arriving before this date may be refused by the facility. Any charges incurred for early freight accepted by the facility are the responsibility of the Exhibitor. Onsite materials will be accepted at the convention center Saturday, 15 March between the hours of 1300 and 1800 and on Sunday, 16 March between 0800 and 1800 hours.

Registration and Housing

Registration Information

Exhibitor Registration will be executed by Experient. Exhibitors will receive two (2) complimentary registrations per 100 sq. ft. of exhibit space purchased. These full registrations include the Luncheons on the exhibit floor, but not the Keynote Luncheons or ticketed events. Please review the Registration Instructions for general information. SPE will notify you via email when the registration and housing processes are available.

Each Exhibitor will be provided a registration number to be used for online staff registration. You will deal directly with Experient regarding any registration questions. SPE Exhibits does not have any registration information. Please contact Experient directly at SPEHSE@experient-inc.com  or via telephone 1.866.229.3691 or +1.301.694.5253 International. After you register, you should be able to see your confirmation online. Please take the time to make your housing reservations as well.

Be Aware: Deal only with Experient to get the SPE discounted rate for your housing reservations. Do not fall for any other companies calling you saying that there are no more rooms available. Do not give anyone your credit card information.
