SUMMARY
The Event Manager is responsible for all aspects of assigned events from conceptualization to post-event wrap up. The Event Manager will be assigned meetings and exhibitions throughout the SPE Middle East geographical area which includes North Africa, Middle East and India.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
- Identifying event dates, avoiding clashes with other SPE and / or Oil & Gas industry activities worldwide
- Inviting Chairmen and Members to serve on the Technical Committee(s)
- Liaising with committee Chairperson(s) to arrange planning meetings
- Communicating with all Committee Members
- Identifying venues for Committee meetings
- Identifying the event venue, and ordering all AV and F&B requirements
- Organizing social and networking opportunities during events
- Prepare and maintain event budgets, with close monthly monitoring and follow up meetings with accounts team
- Attending and facilitating committee meetings
- Circulating meeting notices, minutes, technical agendas
- Supporting committees with information on SPE guidelines
- Promoting the event online, through the SPE sections and network and through broadcast emails where applicable
- Working with committee members to ensure viable event
- Identifying (with committee help) potential sponsors & exhibitors
- Preparing sponsorship opportunity lists and tracking responses
- Providing exhibitor information and selling exhibit space
- Managing / Supervising registrations: mail, fax and online
- Ensuring sponsor, exhibitor and delegate payments are processed
- Onsite registration management and operations
- Supervision and training of temporary staff
- Meet deadlines and ensure committee does too
- Prepare and administer event questionnaires
- Report on regular basis on meeting progress against plan
- Assume responsibility for success of meeting in financial and member-satisfaction terms
QUALIFICATION REQUIREMENTS

EDUCATION and/or EXPERIENCE
Relevant Degree and minimum 4 years related experience; or equivalent combination of education and experience. Experience dealing with Senior Management and Professionals is essential. Strong facilitation skills and previous work with Committees are required. Knowledge of the Oil & Gas industry is an advantage.
LANGUAGE SKILLS
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of employees or one-on-one.
Excellent and accurate verbal and written communications in English is essential. Other languages may be advantageous.
MATHEMATICAL SKILLS
Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.
REASONING ABILITY
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

SUMMARY
Sponsorship and Exhibition Sales Specialist, Middle East, North Africa & India, will be responsible for specific sales activities in the region associated with SPE events, relationship building with existing SPE customers, and identification of, and, sales to new customers. Upon request, the Sponsorship and Exhibition Sales Specialist will also provide assistance to worldwide SPE offices. This position will include exhibition, sponsorship, advertising, and web-banner sales for the meetings developed and managed by SPE. Sales will include in-person and telephone sales. The Sponsorship and Exhibition Sales Specialist will also assist senior management in developing corporate sales and marketing strategies designed to increase revenue and offer a more diverse product offering. The position will also be responsible for handling the day to day operations of the sponsorship exhibition sales.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
- Assist in managing the exhibition sales for SPE conferences run by SPE Meetings Department, working closely with the Event Managers.
- Responsible for executing annual sales for all local events, and international events as requested, and achieving these revenue goals.
- Establish and maintain a regular schedule of telephone contact with assigned accounts.
- Generate new leads and make cold phone calls to prospective customers.
- Sell to customers and prospects at SPE events as determined.
- Attend other industry events for prospecting opportunities.
- Contact customers for program advertising, event sponsorships, corporate sponsorships, and other value-added services as assigned.
- Maintain a history of contact with all customers utilizing the company's contact management software.
- Handle incoming calls for exhibit space sales and related products and services.
- Organize and execute mailings of all promotional materials to new prospects and existing customers.
- Written communications with all customers/prospects pertaining to opportunities and deadlines.
- Editing of promotional materials for all local events and upon request, international events.
- Customer service relating to all operations and meetings questions from exhibitors, advertisers, and sponsors.
- Creation of new SPE marketing and promotional concepts for customers, as well as new product development for events.
EDUCATION and/or EXPERIENCE
Bachelor’s degree and at least 4 years related experience in the UAE in sales with an exhibition or a conference

SUMMARY
This position is responsible for providing administrative support services to the Event Managers and Event Coordinators.
KEY DUTIES AND RESPONSIBILITIES Include the following. Other duties may be assigned.
- Maintain competency with in-house computer applications and other software programmes that are applicable to event administration.
- Perform data entry for event administration.
- Assist in maintaining records including addresses, telephone/fascimile numbers, and regular updates to the master file, event applicants and registrants, committees, senior executives, exhibitors, contractors.
- Assist in maintaining records and accurate information for SPE events and meetings statistics.
- Compose and type routine correspondence.
- Perform project administrative services e.g. mailing of Call for Papers, Conference Preview, Registration and Application Brochures, etc. for SPE Conferences and Exhibitions.
- Support meetings staff on-site, as and when required.
- Regular contact with event committees and meeting venues.
- Assist the Event Managers and Event Coordinators in special projects as and when required.
- Perform any ad-hoc assignments whenever required by management.
EDUCATION AND / OR EXPERIENCE:
Certificate holder and 2-3 years of related work experience or equivalent combination of education and experience.
