As you prepare your exhibit space, please review the forms and important information in the documents below:

An Exhibitor Appointed Contractor (EAC) is an independent/third-party contractor, other than Freeman or OTC Official Contractors, who have been hired by an exhibiting company to perform work or services for their booth. EACs can include, but are not limited to, booth builders, supervisors or designers, independent display companies, photographers, or technicians.

For insurance and safety reasons, Exclusive Contractors designated in the service manual MUST be used for services such as:

  • Catering
  • Electrical
  • Rigging
  • Plumbing
  • Drayage/Forklift Operations
  • Telecommunications

NEW THIS YEAR

PAPERWORK REQUIREMENTS HAVE CHANGED: The submission of an "Intent to Hire a Contractor" form is no longer required of exhibitors. Moving forward, Show Management is only requiring paperwork from EACs, which consists of an EAC agreement and a Certificate of Insurance valid from the start of install until the end of move-out. The EAC agreement and other requirements will be sent directly to EACs and is posted below.

EAC BADGES: EACs will no longer receive a separate badge link to register for badges. If an EAC needs access to the exhibit floor during show days 5-7 FEBRUARY, exhibiting companies are responsible for registering the EAC personnel member under their allotted complimentary registrations. EACs will still receive a wristband each day for setup and tear down.

EAC FEE: A $200 fee per exhibiting company that an EAC completes services for is now required and MUST be paid by the EAC prior to install. Once your EAC agreement is submitted, an invoice will be sent to the EAC primary contact disclosed on the agreement. Failure to pay the EAC fee will result in on-site delays.

All Carriers must check in no later than 2000 on Wednesday, 6 February.

All freight must be cleared from the Woodlands Waterway Marriott by 1200 hours on Thursday, 7 February.

Two (2) complimentary full conference registrations per 100 square feet of exhibit space are included. (Applies to 80 square feet booths in the lobby.)

Additional registrations, up to two times complimentary registrations, can be purchased at the discounted rate of USD 355 each.

Please take a moment to register your staff that will be tending to your booth during the show. Once registered, you will have the ability to book housing for each registered staff member.

EXHIBITOR REGISTRATION

Exhibitors will receive three (3) complimentary Exhibits Only One-Day Guest Cards per 100 sq. ft. of Exhibit Space to distribute to your clients or potential clients. This also applies to 80 sq. ft. booths in the lobby area. Email registration@spe.org to request your company-specific invitation today. Guest cards usage in excess of the three (3) complimentary passes will be billed to the inviting company at a rate of USD 75 per card, per day.

Rules and Regulations:
  • No open-toed shoes of any kind will be permitted on the exhibition floor. Violators of this safety rule will be asked to leave the exhibit floor.
  • Children under the age of 18 are not permitted on the show floor during move-in or move-out.
  • Children under the age of 15 are not permitted on the show floor during official show hours.
  • Flying drones are not permitted.

    Photography/AV Recording Regulations:

    SPE is organized and operated exclusively to promote and further advance scientific and technical knowledge of offshore resources and environmental matters. To maintain the unparalleled technological experience, SPE must enforce a photography and videography policy which will protect the leading-edge technology showcased at the event.

    Late Exhibit Set-Up:

    Any exhibitor whose installation will not begin until after 1700 on Monday, 4 February, must provide written notification to Show Management by Friday, 1 February. For exhibitors who have not notified show management, and carpet has not been ordered, the exhibitor will be assumed a no-show and carpet will be forced at the exhibitor's expense.
